Who Needs a HubSpot Seat in a Solicitors' Practice?
Under HubSpot's new pricing, a solicitors' practice buys one edition and gets the whole platform. Partners, solicitors, legal executives and reception, who all deal with clients, need a GTM seat. The practice manager who runs reporting and automation needs a cheaper Ops seat. A partner who only reviews the dashboards gets a free view-only seat. Credits then cover the work HubSpot does for you, like sending emails and answering enquiries.
For most practices, HubSpot used to feel like software built for someone else. The new pricing, which applies to new HubSpot customers across EMEA from 1 October 2026, finally charges a practice for the way a practice actually works. This guide puts it in the language of your own firm. For the general version, read our guide to HubSpot's new pricing explained.
What Has Changed for Law Firms
Think about a typical practice: partner-led, a mix of private and commercial clients, and work that runs from conveyancing and probate to employment, personal injury and commercial property. A handful of people deal with clients every day. A few more keep the office running. A senior partner wants to see the numbers without touching anything.
Getting enquiries, client updates and marketing into one system meant buying separate hubs. For a firm of ten or fifteen people, the cost and complexity often stopped the conversation.
- Separate Marketing, Sales and Service Hubs
- Each with its own tier and seat rules
- Marketing contacts billed by database size
One edition covers the whole platform. You pay for people by what they do, and for the work HubSpot does on your behalf.
- Edition: the size of the practice
- Seats: who does what
- Credits: work done for clients, like disbursements
Which HubSpot Edition Suits Your Practice
Every edition now includes the whole platform. What changes is the scale of the firm it's built for.
Starter: The Sole Practitioner or Small Practice
Up to 10 paid users, typically with fewer than 5,000 contacts. The core tools to manage enquiries, client emails and a simple pipeline of new work.
Professional: The Growing Practice
Several fee earners, typically with fewer than 50,000 contacts. Professional adds the automation, custom records and AI agents most firms will want, including automated matter updates and an enquiry agent.
Enterprise: The Larger Multi-Office Firm
More than 50,000 contacts, several offices and stricter permissions, with sandboxes and granular access control.
Who Does What in the Practice
Fee Earners and the Front Desk: The GTM Seat
Partners, solicitors, legal executives and the receptionist who takes new enquiries all deal with clients. They get the client-facing tools: managing enquiries, sending updates, fee estimates and client emails.
The Back Office: The Ops Seat
The practice manager, or whoever runs reporting and keeps the systems tidy. They see everything and build the automation, but they don't work with clients from inside HubSpot.
Reading the File: View-Only Seats
A senior or consultant partner who wants the dashboards on a Monday morning but never edits a record. View-only seats are free.
Your IT Support: Developer Seats
For whoever connects HubSpot to your other systems. Also free.
HubSpot Seat Prices for a Practice
| Seat | In Your Practice | Starter | Professional | Enterprise |
|---|---|---|---|---|
| GTM | Partners, solicitors, legal executives, reception | €20 | €100 | €175 |
| Ops | Practice manager, reporting | ✗ | €50 | €50 |
| View-only | Partners who only review | Free | Free | Free |
| Developer | IT support | Free | Free | Free |
Prices are per seat, per month. Ops seats are not available on Starter. There are no seat minimums, so a five-person practice pays for five people.
Think of Credits as Disbursements
Seats pay for your people. Credits pay for the work HubSpot carries out on a client's behalf, the way a disbursement covers a search fee or a courier. You only pay when the work is done. Credits cost €10 per 1,000, and Professional includes 10,000 a month. There are two ways to pay for them.
You agree a fixed monthly amount up front at a better rate, so the bill is the same every month.
- Email sends packs
- Workflow steps packs
- AI agents packs
No commitment, at the full rate. You set a spending cap so it never runs past what you agreed.
- Billed monthly after use
- Suits unpredictable months
- Caps and alerts keep it in check
Where Does HubSpot Change the Work
New Enquiries
Every enquiry from the website, phone or a referrer lands in one place, gets an owner and a reply the same day. An AI agent can answer general questions out of hours, like what to bring to a first meeting or how long a sale usually takes, and pass the rest to a person.
Matter Updates
Most client complaints come down to not knowing what's happening. Automated updates at each stage of a conveyance or an estate, such as contracts out, closing or completion date set, or grant issued, keep clients informed without a fee earner writing every email. Each workflow step uses credits, so automate the updates that matter most.
Fee Estimates
Quotes and e-signature sit inside the platform, so an estimate can go out and come back signed. Each accepted quote uses 100 credits, or about €1. Your costs disclosure obligations stay exactly as they are. The tool just makes them faster to meet.
Past Clients
Practices hold years of past clients and rarely contact them. There are no marketing contacts to pay for any more, only the emails you send. A will review reminder or a note when the market moves only costs money when it actually goes out.
Referrers
Estate agents, accountants and other firms send a lot of work. Tracking who refers what, and thanking them, is simple once it's all in one system.
What Does HubSpot Cost an Eight-Person Practice
Take an eight-person practice, used here as an illustration rather than a real firm. Two partners, three solicitors and legal executives, and a receptionist deal with clients. A practice manager runs the office. A consultant partner only reviews.
| Item | Starter | Professional |
|---|---|---|
| Six people who deal with clients (GTM) | €120 | €600 |
| Practice manager | €20 (GTM, no Ops seat on Starter) | €50 (Ops) |
| Consultant partner (view-only) | Free | Free |
| Email pack, 2,000 sends a month | €200 | €200 |
| Workflow pack | Not needed | €150 |
| Credits: 100 enquiry chats and 20 accepted estimates | Not available | Covered by the 10,000 included |
| Total per month | €340 | €1,000 |
Starter gets a small practice organised for a modest monthly cost. Professional is where the automated matter updates, the AI enquiry agent and proper reporting come in, and most practices with several fee earners will find that's where the return is.
Is Your Practice Ready for HubSpot
HubSpot doesn't replace your practice management system. It handles the relationship around the matter. Knowing where the line sits keeps both systems doing what they're best at.
