## Who Needs a Seat? HubSpot’s New Pricing for Hotels.

HubSpot Pricing for Hotels

# Who Needs a HubSpot Seat in a Hotel

Under HubSpot's new pricing, a hotel buys one edition and gets the whole platform. Anyone who deals with guests or clients through HubSpot, like reservations, sales and events, guest relations and marketing, needs a GTM seat. A revenue or operations manager who runs reports and automation needs a cheaper Ops seat. Owners and general managers who only check the dashboards get free view-only seats. Cedits then cover the work HubSpot does for you, like sending emails and answering enquiries.

For many hotels, getting enquiries, guest emails and repeat business into one system used to mean buying several hubs and paying for every past guest on the database. The new pricing, which applies to new HubSpot customers across EMEA from 1 October 2026, charges a hotel for the way a hotel actually works. This guide puts it in the language of your property. For the general version, read our guide to **[HubSpot's new pricing explained](https://www.warbble.com/blog/hubspots-new-pricing-explained-editions-seats-and-credits)**.

The Basics

## What Has Changed for Hotels

Think about a typical independent hotel. A reservations team handles direct bookings. A sales and events manager chases weddings, conferences and corporate accounts. Someone runs the marketing emails, and someone looks after reviews and guest relations. A revenue manager watches the numbers, and the owner wants a dashboard without touching anything.

The Old Model

Paying for Every Past Guest

Enquiries, guest emails and events sales meant separate hubs, and a large past-guest database pushed up the bill whether you emailed those guests or not.

- Separate Marketing, Sales and Service Hubs
- Each with its own tier and seat rules
- Marketing contacts billed by database size

The New Model

Priced Around Your Property

One edition covers the whole platform. You pay for people by what they do, and for the work HubSpot does on your behalf.

- Edition: the size of the property or group
- Seats: who does what
- Credits: charged to the folio as you use them

The Edition

## Which HubSpot Edition Suits Your Hotel

Every edition now includes the whole platform. What changes is the scale of the business it's built for.

01

#### Starter: The Boutique Hotel or Guesthouse

Up to 10 paid users, typically with fewer than 5,000 contacts. The core tools to manage enquiries, guest emails and live chat on your website.

02

#### Professional: The Independent Hotel

A growing team, typically with fewer than 50,000 contacts. Professional adds the automation, custom records and AI agents most hotels will want, including automated pre-arrival and post-stay emails and an enquiry agent.

03

#### Enterprise: The Hotel Group

Several properties and more than 50,000 contacts, with sandboxes, granular permissions and multi-account management for groups running more than one hotel.

The Seats

## Who Does What in the Hotel

**The one-question test.** HubSpot's rule for choosing a seat is simple: does this person deal with guests or clients through HubSpot? In a hotel, that splits neatly.

01

#### Front of House: The GTM Seat

Reservations, sales and events, guest relations and whoever sends the marketing emails. They get the guest-facing tools: enquiries, event proposals, quotes and guest emails.

02

#### Back of House: The Ops Seat

The revenue manager or operations lead who runs the reports, keeps the data clean and builds the automation, but doesn't deal with guests from inside HubSpot.

03

#### The Owner's Table: View-Only Seats

The owner or general manager who checks bookings and pipeline on a Monday morning but never edits a record. View-only seats are free.

04

#### Your IT Support: Developer Seats

For whoever connects HubSpot to your website, booking engine or property management system. Also free.

## HubSpot Seat Prices for a Hotel

| Seat | In Your Hotel | Starter | Professional | Enterprise |
| --- | --- | --- | --- | --- |
| GTM | Reservations, sales and events, guest relations, marketing | €20 | €100 | €175 |
| Ops | Revenue or operations manager | ✗ | €50 | €50 |
| View-only | Owners and GMs who only review | Free | Free | Free |
| Developer | IT support | Free | Free | Free |

Prices are per seat, per month. Ops seats are not available on Starter. There are no seat minimums, so you only pay for the people who need one.

Credits

## Think of Credits as Charges to the Folio

Seats pay for your people. Credits pay for the work HubSpot does on your behalf, charged as it happens, like extras added to a guest's folio. That means emails sent, workflow steps run, AI agents answering questions and quotes accepted. Credits cost €10 per 1,000, and Professional includes 10,000 a month. There are two ways to pay for them.

Packs

The Contracted Rate

You agree a fixed monthly amount up front at a better rate, so the bill is the same every month.

- Email sends packs
- Workflow steps packs
- AI agents packs

Pay-as-You-Go

The Rack Rate

No commitment, at the full rate. Useful for seasonal peaks, as long as you set a spending cap first.

- Billed monthly after use
- Suits uneven, seasonal months
- Caps and alerts keep it in check

In Practice

## Where Does HubSpot Change the Work

01

#### Wedding, Event and Group Enquiries

Every enquiry from the website, phone or email lands in one place, gets an owner and a reply the same day. High-value enquiries stop sitting in someone's inbox while they're on leave.

02

#### Out-of-Hours Questions

An AI agent can answer the questions guests ask at midnight, like parking, check-in times or whether dogs are welcome, and pass anything about bookings or special requests to your team.

03

#### Event Proposals and Quotes

Proposals and quotes go out from the platform and come back accepted, so the sales pipeline for weddings, conferences and corporate accounts is in one view. Each accepted quote uses 100 credits, or about €1.

04

#### Pre-Arrival and Post-Stay Emails

A welcome note before arrival and a thank-you with a review request after checkout, sent automatically. Each workflow step uses credits, so automate the touchpoints that guests actually value.

05

#### Past Guests and Return Visits

Hotels hold years of past guests and rarely contact them well. There are no marketing contacts to pay for any more, only the emails you send. An anniversary offer or a quiet-season break only costs money when it actually goes out.

Worked Example

## What Does HubSpot Cost an Independent Hotel

Take an independent hotel on Professional, used here as an illustration rather than a real property. Two people on reservations, a sales and events manager, a marketing manager and a guest relations lead deal with guests. A revenue manager runs reporting. The owner and the general manager only check the dashboards.

| Item | Who or What | Per Month |
| --- | --- | --- |
| GTM seats | 2 reservations, 1 sales and events, 1 marketing, 1 guest relations | €500 |
| Ops seat | 1 revenue manager | €50 |
| View-only seats | Owner and general manager | Free |
| Email pack | 2,000 sends a month | €200 |
| Workflow pack | Professional, up to 500,000 actions | €150 |
| Credits | 200 enquiry agent chats and 10 accepted event quotes, less 10,000 included | €10 |
| Total per month | | €910 |

The seats are the predictable part. The bill moves with how often you email, how many steps your workflows take and how much you hand to the AI agent. Hotels with large past-guest lists will often send far more than 2,000 emails a month, so size the email pack to how you really market, not how you'd like to.

Before You Start

## Is Your Hotel Ready for HubSpot

HubSpot doesn't replace your property management system or booking engine. It handles the relationship around the stay. Knowing where the line sits keeps every system doing what it's best at.

#### What HubSpot Handles

Wedding, event and group enquiries

Event proposals and accepted quotes

Pre-arrival and post-stay guest emails

Offers and news for past guests

Corporate accounts and repeat business

#### Ground Rules to Set First

**Bookings stay put.** Reservations, rates, room inventory and folios remain in your property management system and booking engine.

**AI agents answer, they don't book.** Set them to handle general questions and pass bookings, payments and special requests to your team.

**Clean the list before you send.** Every email to a guest who never opens now costs money.

**Consent still matters.** Data protection law and marketing consent rules apply to every email you send.

**The warbble take.** Most hotels don't have a software problem. They have a wedding enquiry that waited three days for a reply, a guest who loved their stay and never came back, or a corporate account nobody followed up. That's why we start with the process, not the software. A free 20-minute Pricing Check looks at how your hotel wins, delivers and keeps business, then tells you on one page which edition, which seats and which packs you need. Sometimes the answer is Starter, and sometimes it's to change nothing. After go-live, our [Thrive retainer](https://www.warbble.com/thrive-hubspot-optimisation) keeps the platform earning its keep: a monthly look at usage, clean-up of anything wasting credits, and the next process worth improving.

Common Questions

## Frequently Asked Questions

Which HubSpot seat does a hotel reservations team need? ▾

Anyone who deals with guests or clients through HubSpot, including reservations, sales and events, guest relations and marketing, needs a GTM seat. A revenue or operations manager who runs reporting and automation without guest contact needs an Ops seat on Professional or Enterprise. Owners and general managers who only review dashboards can use free view-only seats.

How much does HubSpot cost for an independent hotel? ▾

It depends on your edition, your team and how much you email and automate. In our illustrative independent hotel on Professional, with five guest-facing seats and one Ops seat, the total comes to about €910 a month. Your final pricing is confirmed on your HubSpot quote.

Does HubSpot replace a hotel property management system? ▾

No. Reservations, rates, room inventory and guest folios stay in your property management system and booking engine. HubSpot handles the relationship around the stay: enquiries, event sales, guest emails, past-guest marketing and repeat business.

Can HubSpot manage a group of hotels? ▾

Yes. The Enterprise edition is built for larger businesses and includes multi-account management, granular permissions and sandboxes, which suit hotel groups running several properties.

Does the new pricing apply to existing HubSpot customers? ▾

The new pricing applies to new HubSpot customers across EMEA from 1 October 2026. If your hotel already uses HubSpot, your current pricing stays as it is for now. Speak to your HubSpot account manager or partner about when and whether moving makes sense.

Do hotels still pay for past guests on the database? ▾

No. Marketing contacts are gone under the new model, and email is charged per send instead. You can keep as many past guests as your edition's record limit allows and only pay when you email them.
